PRIVACY NOTICE

Overview
Your “personal data” is any information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked, directly or indirectly, with you or your household. This notice also applies to sensitive personal data, a category of personal data. It includes data like your social security number and account log-in credentials, as well as biometric information.

What data we collect
Personal data
The categories of employee and contractor personal data we have collected within the last 12 months include the following:
Identifiers/contact information
Like your name, online identifiers such as an Internet Protocol (IP) address, account and usernames, aliases, telephone number, email address, home and postal addresses, signatures, and other identifiers described in the sensitive personal data category below.
Categories required to be listed specifically under certain state laws
Like name, signature, social security number, physical characteristics or description (which may appear on government ID), address, telephone number, passport number, driver’s license or state identification card number, insurance policy number, education, employment, employment history, bank account number, credit card number, debit card number, or any other financial information, medical information, or health insurance information.
Characteristics of protected classifications under state or federal law
Like race, religion (may include religious dress and grooming practices), sex/gender (includes pregnancy, childbirth, breastfeeding and/ or related medical conditions), gender identity, sexual orientation, marital status, medical condition (genetic characteristics, cancer or a record or history of cancer, military or veteran status, national origin (includes language use and possession of a driver’s license issued to persons unable to prove their presence in the United States is authorized under federal law), disability, request for family care leave, request for leave for an employee’s own serious health condition, request for Pregnancy Disability Leave age (over 40).
Biometric information
Like fingerprint, voiceprint, and facial images from which an identifier template can be extracted.
Employment and performance information
Like date of hire, title, transfers and promotions, salary and rewards, training, absences and reasons for absences, letters of appreciation and commendation, grievances or disciplinary matters, and resignation or termination of employment, demographic data such as age, including date of birth, gender, marital status, spouse and dependents, and certain sensitive data categories described below, work permit status and related immigration information, attendance at corporate functions and sites, compensation history with us, performance information, aptitude, disciplinary information, training records and certifications, educational information.
Payroll, tax, and benefits information
Like your bank account details, payroll records, tax information, pension information, benefits elections, investment and portfolio information, vacation and leave of absence information, payroll deduction information, expense reimbursement information, and insurance-related information.
Travel information
Like your loyalty program numbers, dates and length of travel, hotel names and locations, and travel routes.
Medical and health-related information
In order to administer and manage employee benefits, our service providers may collect information like your medical condition or disability, pregnancy status, health, sickness, vaccine record, injuries, temperature, communicable disease or other medical test results, beneficiary, and family information.
Personal or work vehicle information
Like your vehicle license plate number, year, make, model, and location.
Images and recordings of you
Like your photograph, voice, audio/video recordings and transcripts of our in-person or online events, meetings and/or calls, and security footage of you on our premises.
Internet or other electronic network activity and analytics or monitoring data
Like activity or data related to employee or contractor communications and use of
Geolocation data
Like approximate location data based on your IP address, as well as office location, conference room booking locations, travel location, and precise location, where applicable.
Audio, electronic, visual, or similar information
Like facial images and voice information like photos, videos, and voice recordings.
Application information
Like certain sensitive data categories described below; work permit status, like immigration, residency and related information; professional and background information about you, such as your resume and application form, including details about your qualifications, skills, academic and education background, training courses attended, work experience, language capabilities, employment history, results of drug and alcohol testing, health screenings or certifications, work permit/visa application information, and references or recommendations from previous employers, driving and vehicle licensing and history.
Education information
Like academic records that include institution name, years attended, diploma or degree obtained, and other information you provide to us about your education.
Inferences
Inferences about you drawn to reflect your preferences, characteristics, psychological trends, predispositions, behavior, attitudes, intelligence, abilities, and aptitudes.
Other information
Other information you provide to us related to your onboarding, employment, contractor role, or that we collect for other human resources, business, security, travel, or safety-related purposes.
Sensitive personal data
We collect certain personal data considered “sensitive” (“sensitive personal data”). To support our legal and business activities, and as permitted by law, we may collect sensitive personal data as part of our employment or contractual relationship with you. If you use your work-issued devices or any device that accesses
Examples of sensitive personal data that we collect include:
- Government-issued identifiers, such as social security information, driver’s license information, state identification card, or passport information
Account log-in, financial account, debit card, or credit card number in combination with a security or access code, password, or credentials that allow access to an account
Precise geolocation
Racial or ethnic origin, religious or philosophical beliefs, or union membership
Biometric information (where used for the purpose of uniquely identifying you)
Health information
Information relating to sex life or sexual orientation

How we and our providers use cookies and similar technologies
We also collect personal data through our use of cookies, web beacons, mobile analytics, and similar technologies to operate our websites, applications, and online services accessible to you related to our employment relationship. We use these technologies to help us collect the data necessary to operate and manage our business. We, and our analytics providers, use these technologies in our websites, apps, and online services to collect personal data when you access and use our services, including personal data about your online activities over time and across different websites or online services. We use personal data that we collect as appropriate to administer and carry out the employment relationship, including for human resources and operational, business, safety, and security purposes as described in this notice for the following purposes:

mobile365 Systems, assets, and resources, including managing and protecting unauthorized access and use ofmobile365 , personal, and customer data, devices, systems, and infrastructure; and protectingmobile365 Systems from intrusions.Managing, monitoring, measuring, analyzing, protecting, and improving campus, parking, buildings, office space, conference rooms, facilities, catering and café services, including monitoring and administering building occupancy and campus parking and transportation; operating and monitoring physical security systems, such as CCTV, key-card entry systems, and guest logs; registering personal vehicles and logging exit and entry times; and emergency notification services.
Managing and improving workplace efficiency and effectiveness, including listing employee contact information in internal directories.
Communications and collaboration.
Delivery of information, goods, and services.

We may use de-identified information in accordance with applicable law.

If you provide personal data via these integrations, references, or links, or allow us to disclose personal data to them, that information is governed by their privacy statements.
Finally, we may share de-identified information in accordance with applicable law. When we do so, we have processes in place designed to ensure the information cannot be reassociated with you. And we obligate recipients of de-identified information to maintain and use such de-identified in accordance with applicable law.
Data retention
We retain your personal data for business or tax needs, or legal reasons. For example, we retain personal data in accordance with our obligations under applicable labor and employment law and as necessary to administer and carry out the employment relationship and our post-employment obligations. We set our retention periods based on things like the type of personal data, the business purpose for which it was collected, and legal obligations to retain certain kinds of personal data.
Privacy rights and data choices

Access
You may request access to your personal data or confirmation that we have data about you. We will provide access to your data in a portable and machine-readable format. Authorized Agents
An authorized agent may submit an access, deletion, or correction request on your behalf. They should visit our Personal data request page and choose the category that best describes your relationship with
To protect your data, we’ll ask you to verify your own identity before we fulfill the request submitted by the agent. All communications will be sent directly to you, the employee or contractor, and not the agent.
Verification of your identity
We verify your identity before processing your request.
To verify your identity, we’ll need information from you, like your email address and phone number. You may have to share your U.S. driver’s license, state ID, or passport, along with a current digital photo of your face so we can ensure the photo ID truly belongs to you.
We may also request additional personal data to validate your employment.
Appeal
Sometimes we can’t comply with your request. When that happens, residents of certain states are entitled to submit an appeal. Instructions for how to submit your appeal will be included in our response explaining why we couldn’t comply.

Do Not Sell or Share
We do not sell (or "share," as defined by California law) your personal data covered by this notice. However, we do use third-party services on certain careers web pages to send you relevant career ads and perform analytics about our candidate outreach efforts. That means we "sell" or "share" your personal data as defined under certain privacy laws.
Limit use and disclosure of sensitive personal information
In certain jurisdictions, where we use or disclose sensitive personal data to infer individual characteristics or for purposes other than those described by applicable law, you have a right to request that we limit our use and disclosure of such sensitive personal data.
We do not use or disclose sensitive personal data to infer individual characteristics.
Non-Discrimination
In certain jurisdictions, you have a right not to be discriminated against for exercising these rights set out in applicable law.
Communications preferences
You can choose whether to receive optional communications from us by email, SMS, and telephone related to new jobs or roles that become available. If you receive these optional email or SMS messages from us and would like to stop, you can do so by following the directions in that message or by contacting us as described in the “Contact Us” section below. If you receive a call from us related to new jobs or roles that become available, and no longer wish to receive such calls, you can ask to no longer receive those calls. These choices do not apply to certain informational communications, including communications about an existing application with us.
Browser or platform controls
Global Privacy Control
Some browsers and browser extensions support the “Global Privacy Control” (GPC) or similar controls that can send a signal to the websites you visit indicating your choice to opt-out from certain types of data processing, as specified by applicable law. When we detect such a signal, we make reasonable efforts to respect your choices indicated by a GPC setting or similar control recognized by regulation or otherwise widely acknowledged as a valid opt-out preference signal.
Do Not Track
Some browsers include a "Do Not Track" (DNT) setting that can send a signal to the websites you visit, indicating you do not wish to be tracked. Unlike the GPC described above, there is no common understanding of how to interpret the DNT signal; therefore, our websites do not respond to browser DNT signals. Instead, you can use the range of other tools to control data collection and use, including the GPC, cookie controls, and advertising controls described above.
Mobile advertising ID controls
iOS and Android operating systems provide options to limit tracking.
Email web beacons
Most email clients have settings that allow you to prevent the automatic downloading of images, including web beacons, which avoid the automatic connection to the web servers that host those images.
Notice and consent
We provide employees and contractors with a notice about the personal data we collect, how we use personal data, and with whom we disclose personal data.
We get consent from employees and contractors for the collection and use of personal data where such consent is required by applicable law. Failure to provide necessary personal data may disqualify an employee or contractor from employment or restrict participation in certain plans or programs.
Future changes
From time to time, we may update this notice to reflect changes required by law or our privacy practices or procedures. When we make material changes to this notice, we’ll let you know by updating this notice and the date at the top of this page.
This Employee and Contractor Privacy Notice does not form any part of any contract of employment.
